Use of AI policy

We use AI, and we would rather tell you exactly how than let you guess. AI helps us draft, summarize, research, and move faster. It does not compute your financial numbers, it does not decide anything about your practice, and no analysis reaches you without a human reviewing it first. Everything below is specific on purpose, because a vague AI promise is not worth much.

Does Top Practice CFO use AI?

Yes. We use AI to draft written material, summarize documents, research industry benchmarks, and explain financial concepts in plain language. We also use it to speed up internal work like organizing notes and preparing first drafts of reports. We treat AI as a fast assistant, not as the person responsible for your outcome.

Takeaway: AI changes how quickly we work. It does not change who is accountable for the work.

Does AI calculate my financial numbers?

No. Your numbers are computed by deterministic logic and reviewed by a human, never generated by a language model. AI may help explain what a number means or draft the narrative around it, but the figure itself never comes from an AI guess. This is the single most important line we draw, because a plausible-sounding wrong number is worse than no number at all.

If a figure appears in your report, it was calculated, checked, and stood behind by a person.

Does a human review the work before I see it?

For anything touching your practice, yes, always. Every client deliverable, financial analysis, recommendation, and direct reply is reviewed by a human before it reaches you. Our marketing content is the one exception and we say so below, because we would rather disclose it than have you discover it.

Type of workHuman reviewAI involvement
Financial analysis and reportsAlways, before deliveryDrafting and explanation only
Recommendations and adviceAlways, before deliveryResearch and first drafts
Email replies to youAlways, before sendingMay draft, never sends on its own

Is my financial data used to train AI models?

No. We use AI providers under business API terms where your data is not used to train their models and retention is limited or zero. We do not sell your data, and we do not feed client information into public or consumer AI tools. Access to your financial systems is read-only.

Takeaway: Working on your data and training on your data are different things. We do the first, never the second.

Which AI providers do you use?

Our primary AI provider is Anthropic (Claude), used to draft and explain, never to compute your numbers. The full list of every company that processes data on our behalf, including what each one receives and where it is hosted, is published on our privacy page rather than duplicated here so the two can never drift apart.

Our complete sub-processor table lives on the privacy page and is kept current.

Is content on this website written by AI?

Some of it is AI-assisted. We use AI tools in producing our written, audio, and video content, including blog posts and educational material. Every factual claim about accounting, tax, or financial practice is checked by a human before it publishes. When content is about your specific practice, the human review standard above applies without exception.

What happens if the AI gets something wrong?

We own it. AI does not transfer responsibility, so an error in something we produced is our error regardless of which tool was involved. If you spot something that looks wrong, tell us and we will correct it and explain what happened. We would much rather hear it from you than have you quietly lose confidence in the work.

Email support@toppracticecfo.com and a person will answer.

Does AI make decisions about my practice?

No. AI does not decide your pricing, your staffing, your budget, or anything else about how you run your practice. It does not approve or reject anything. Recommendations come from a human who has looked at your actual situation, and the decision is always yours.

No. Nothing produced here, whether written by a person or drafted with AI, is a substitute for advice from your CPA, tax professional, or attorney. We are not a mortgage broker and we do not provide legal or tax opinions. For decisions with tax or legal consequences, talk to a licensed professional.

How do I ask a question about how you use AI?

Email support@toppracticecfo.com. If something on this page is unclear, or you want to know whether AI touched a specific piece of your work, ask and we will tell you straight.
